Using the timesheet

Keep a clear record of the time worked on your assignment and share it with the person responsible for approving your hours.

  1. Add your details, the client organisation and the week covered.
  2. Record your hours, taking account of breaks as agreed with the client.
  3. Check the weekly total and ask your client contact to approve it using your agreed process.
  4. Keep a copy with the corresponding invoice.

Using the invoice template

Use the invoice page to set out your charges clearly. Complete your business and client details, invoice number and date, work period, agreed rate and amount due. Add your payment details and agreed payment terms, and adapt the template for any applicable VAT or agreed expenses.

Check all figures before sending. This is an editable Word template, so calculate and verify your hours, charges and totals yourself.

For law firms and in-house teams

You can share these templates with your locum at the start of an assignment. Agree who will approve the timesheet, where invoices should be sent and whether a purchase order or other reference is needed.

If your organisation already uses its own timesheet or invoicing process, confirm which format the locum should follow.
